Friendly payment-reminder email templates

Copy and adapt three clear payment reminders: a first check-in, a second follow-up and a request to agree the next step.

TL;DR — the short version

Use the template that fits the conversation, replace the bracketed details and check the outstanding balance before sending. These are everyday reminders, not formal legal notices.

You can ask for payment without sounding cold or apologising for having sent an invoice. These messages keep the practical details together and give the client an easy way to reply.

Use them as a starting point. If you already know the person well, it is fine to write the way you normally speak to them. The invoice number, balance and next step are the parts worth keeping precise.

Before you press send

Check for a recent payment or a reply about the work, confirm the billing contact and attach or link the correct invoice. Replace every bracketed field, including the currency. If the client has made a partial payment, use the remaining balance.

A first reminder might be appropriate shortly after the due date. A second may follow if there is no reply. Choose the timing to fit your agreed terms and conversation; these templates do not establish payment deadlines or legal rights.

When the conversation needs a different approach

If the client disputes the amount, ask which items need discussion and look at the agreed scope together. If they have already promised a payment date, refer to that promise rather than restarting the conversation.

If payment remains unresolved, get advice about the options available under your agreement and any industry-specific rules. Do not add unagreed charges or use these reminders as a substitute for a properly prepared letter of demand.

Make it your own

First reminder: a friendly check-in

Subject: Quick check-in on invoice [invoice number]

Hi [name],

I’m checking on invoice [invoice number] for [project/work], with a remaining balance of [currency and amount], due on [due date]. I’ve included a copy here for convenience.

If payment is already on its way, thank you. Otherwise, could you let me know when it is expected? If you need a reference or any other detail from me, I’m happy to help.

Thanks,
[your name]

Second reminder: ask for a payment date

Subject: Following up: invoice [invoice number]

Hi [name],

I’m following up on my message of [previous message date]. Invoice [invoice number] still has [currency and amount] outstanding from the original due date of [due date].

Could you confirm the scheduled payment date by [reply date]? I’ve attached the invoice again. If anything is holding it up, please let me know so we can work out the next step.

Thank you,
[your name]

Further follow-up: agree the next step

Subject: Next step for outstanding invoice [invoice number]

Hi [name],

I haven’t yet received payment or confirmation of a payment date for invoice [invoice number]. The remaining balance is [currency and amount], originally due on [due date].

Please reply by [reply date] with the expected payment date, or let me know if there is an issue we need to discuss. I would like to resolve this directly with you.

If I don’t hear back, I’ll review the options available under our agreement.

Kind regards,
[your name]
